Useful Apps for the Canton Fair

Let’s face it, a 1.18 million square foot exhibition space can be daunting. Thankfully, there are apps to help you out.

Wechat: WeChat is a must-have if you're visiting the Canton Fair, or really doing any business in China. This all-in-one powerhouse isn’t just for chatting; it’s your go-to for payments and social networking. With over a billion users, it’s the ultimate tool for connecting with partners and sealing deals while you’re there.

The Canton Fair App: We’ll file this one under ‘maybe’ download this one… ? It only has 10,000 ish downloads and no reviews. We’ve never used it, but it looks like it could be useful. It provides exhibitor information, product categories, and even a map of the venue.

Google Translate: Obvious but often overlooked. You can speak directly into the app, have it translate whatever you want, and then shove it into the face of the person you’re talking to - classy!  Communication is key at Canton, so having this app (or something similar) at the ready will help you out a lot when talking to manufacturers.

Any Note-Taking App: Evernote or Microsoft OneNote will let you jot down important notes and ideas without losing them in a sea of brochures.

QR Code Scanner: Many exhibitors use QR codes to share product info. This app allows you to scan codes quickly and gather information effortlessly.

Expense Tracking Apps (Expensify or Money Manager): Hopefully you’re visiting on the company dime and you can let loose with the credit card, but if not, keeping track of expenses is probably a good idea. What am I, your accountant?

Business Card Scanning Apps (CamCard or ScanBizCards): Easily digitize business cards you collect, organizing contacts for later follow-up. Alternatively, grab a million business cards and brochures and let them mingle at the bottom of your bag never to be looked at again.

Networking Apps (LinkedIn): Social media is terrible in every form. But, this is actually a great way to build a network of potential partners in China.

How to Talk to Manufacturers at the Canton Fair

You’ve got your badge, your maps, and your translation app – now, it’s time to awkwardly approach booths and start chatting. Here’s how to converse like a pro and not a noob:

Introduce Yourself: Keep it friendly but professional. A simple “Hello, I’m [Your Name] from [Your Company]” goes a long way.

Ask Open-Ended Questions: Instead of yes or no questions, engage them with inquiries like, “What’s your most popular product?” or “How does your manufacturing process work?”. Dig a bit deeper with your chat to find out what a potential manufacturer or supplier is all about.

Take Notes: Jot down important points about each manufacturer. Again, obvious but overlooked. You’re going to have a lot of convos so keep track with good notes.

Canton Fair Travel Tips

Traveling to China and navigating the fair can be overwhelming, so here are a few travel tips from our team of Canton veterans.

Book Your Accommodation Early: No explanation required really. Leave it late, pay more and stay further away. Simple.

Learn Some Basic Mandarin Phrases: While many vendors speak English, knowing a few key phrases in Mandarin can impress locals and facilitate smoother conversations. Simple greetings and phrases like “thank you” (谢谢, xièxiè) can go a long way. Get cracking with Duo Lingo.

Use Public Transport: Use Public Transport:
Guangzhou's metro system is a great way to get around. Purchase a rechargeable Lingnan Tong Card at metro stations or convenience stores for easy access to the metro and buses.

Prepare for the Fair

Preparation is key to maximising your time at the Canton Fair 2025. Here are some essential prep steps to take before you go:

Set Clear Goals: Are you looking to… find new suppliers, trending products, network with top manufacturers, or… wander around aimlessly? Clear goals will keep you focused. If you have a specific product in mind, you should know that product inside and out. Create a detailed spec sheet so you can assess whether a potential manufacturer or supplier can actually produce the product you’re looking for.

Create an Itinerary: Review the exhibitors’ list and map out your top choices. Scheduling your day can help you manage your time effectively.

Wear comfortable shoes: When I asked our client success manager what her top tip was, she said… “It’s a lot of walking, wear good shoes”. Noted.

Sample Strategy: Obviously whenever possible, you’ll be getting samples from potential manufacturers and suppliers, BUT don’t forget to take your own. Nothing communicates product quality markers like a sample.

Prep like a pro: The Canton Buyer Service Platform (BSP)

Sure it’s fun to just show up and wander aimlessly, but this is a sure-fire way to do a whole lotta nothing at the Canton Fair 2025. The Canton Fair Buyer Service Platform is an online tool designed to enhance your Canton experience. Before you hit the Fair, check it out.

Supplier Matching: Search for exhibitors based on specific product needs to make it easier to find relevant manufacturers on the day. You can also select your phase and use keywords to find manufacturers based on category, business size, trade terms, destination, and target price - sweet.

Appointment Scheduling: Arrange meetings with exhibitors ahead of time for valuable face-to-face interactions.

Product Information: Access detailed information about exhibitors and their products to help you plan which exhibitors to hit and which to skip.

Networking Opportunities: Connect with manufacturers and suppliers before the event to get a head start on building relationships and collaborations.

Smart Business Card Management: Save and organize your business cards, receive supplier contacts instantly, and keep all your connections in one easy-to-access digital holder.

Appointments: Plan and manage your meetings from your selected list, send I-Invites, and keep track with a seamless scheduling overview.

Canton Fair Negotiation Tactics

Look, we’re not going to turn you into a master negotiator in 5 minutes, but there are some tricks you can use to improve your communication skillz when engaging with suppliers and manufacturers.

Do Your Homework: As mentioned earlier - you should understand your product inside and out. Research market prices to know what’s reasonable. Understand what the key quality markets are for your product (for example materials, construction method, features etc…)

Stay Calm and Confident: Approach negotiations with a friendly attitude but assertive demeanor. And most importantly, pick up a copy of Trump: The art of the deal. Nah, just kidding. Or maybe do read it, I have no idea I haven’t read it.

Know Your Budget: Set a budget and stick to it. If a supplier can’t meet your price, it’s important to know when to walk away.

Be nice: This should go without saying, but remember you’re trying to build a mutually beneficial relationship.

Be Flexible: Sometimes, you may not be able to get the exact price you want. Consider negotiating other terms, such as better payment options or shipping discounts.

Canton Fair Post-Event Follow-Up

Once the fair wraps up, your work isn’t done. Following up effectively can set the stage for successful collaborations. Here’s what to do after the Canton Fair:

Organize Your Contacts: Review notes and business cards collected during the fair. Keep them organized and update any contact information.

Send Thank You Emails: A simple thank-you email goes a long way in fostering goodwill. Summarize your conversation and express your interest in collaborating.

Evaluate Samples: Test any products or samples you received. Assess their quality and suitability for your market.

Stay in Touch: Continue building relationships with your new contacts. Regular communication can lead to beneficial partnerships.

Analyse Your Experience: Reflect on what worked and what didn’t during your Canton Fair visit. Learn and do things better next time.
